Minutes of the membership meeting

October 2, 2008

  The first meeting of the 2008-09 year was held at the new City offices in the beautiful new conference room, at 12:00 noon on October 2, 2008.  Ten members were present and one visitor.  Walt Morrell of Sign*A*Rama in Logan was introduced as a new member and our visitor, Jesse Taylor, was presented by Judy Holbrook.

  Minutes of the last meeting on June 5, 2008 were reviewed and approved on the motion made by Judy Holbrook, seconded by Angie McPhie.  The Treasurer’s Report was presented and reviewed and made a part of these minutes.  Motion was made by Brenda Terry, seconded by Judy Holbrook, that the minutes and the Treasurer’s Report be approved as written.  Carried unanimously.

  Advertising: Discussion was held on the success of this year’s advertising for members.  The full-page ads in the Rich County Times for the summer were very successful, and it was decided that we should keep these ads going year round, but that they should show if they are open year round or the summer season only.  The brochures that were circulated this summer were blank on the back, and it was suggested that possibly we could put advertising on the back, thereby recouping some of the costs of printing.  This cannot be completed as yet until we have the names of all the members for 2008-09.  It was suggested that we get some kind of a price for the printing of the brochures.

  Festival of the Trees:   Jennifer Huefner of Needles and Leaves indicated they would like to sponsor a Christmas tree Festival of the Trees where individuals or businesses would buy and decorate a Christmas tree and they would then be auctioned off for charity.  Discussion revealed that this could be a good project for the Chamber to sponsor.  Brenda Terry indicated she would follow up on this.

  Commuter Bus:  Judy Holbrook gave a report on the PRT Commuter Bus for the summer.  In 2007 we had 331 riders.  In 2008 we had 3,666 riders.  Next year PRT is looking at expanding the service by adding 2 extra runs per day.  This will require a larger budget, which they are looking at and will get back to us.  They appreciate the help from the Chamber.  Judy will attend the snowmobile show on October 24 and 25 and circulate our advertising brochures.  She feels Garden City merchants should do package deals for the Chocolate Festival.

  Chocolate Festival:  Sandi Warner, Chairman of the Chocolate Festival brought up a discussion regarding the dates for the festival and asked for ideas from members.  Dates were discussed.  Members thought that it should be held on February 13, 14 and 15, with hours from 4-8 on Friday, Saturday 10:00 to 5:00 and Sunday from 10:00 to 2:00.  Package deals were discussed and Angie indicated she would put one together.  Booth fees were discussed and it was decided $40 for Friday and Saturday and Sunday would be free.  Every booth would be required to have a chocolate theme, no commercial sales, and only hand-crafted items.  It was suggested that the entry fee to the Festival include raffle tickets.

  Election of Officers:  Nominations were called for.  Those nominated as officers for 2008-09 were  Angie McPhie, President; Jesse Taylor, Vice President and Loretta Fidler as Secretary Treasurer.  Votes were taken and the above officers were elected unanimously.

  Membership Drive:  Discussion regarding a drive for new members followed, and it was decided we should contact everyone within our territory to join the Chamber and work with us for the good of the area and all members.  As a growing community we need everyone’s help.

  Halloween Party Donation:  This annual donation to the community party for the children was discussed, and $400 was approved as a sponsor’s donation by the Chamber.

  There being no further business to come before the meeting, a light lunch was served and the meeting was adjourned.
